## Scan-day worksheet

Plan one test scan, give every original a stable ID, and reconcile physical items with accepted files before you leave.

### How to use it

1. Record the collection owner, permission, operator and scanner. Count physical items and required front/back captures separately. Keep album context and written backs when safe.
2. Avoid forcing albums flat, peeling stuck photographs or using rollers for fragile items. Ask a conservator about mould, brittle surfaces or prints stuck to glass.
3. Plan exported pixels from source inches × scan DPI. A 4 × 6 inch print at 600 DPI produces approximately 2400 × 3600 pixels; the complete image can fill 8 × 12 inches at 300 PPI. More DPI cannot recover detail missing from the original.
4. Accept one test: inspect focus at 100%, whole-print edges, glare, streaks, colour, orientation, exported dimensions and format. Save the untouched master before making edits.
5. Reconcile expected captures with accepted masters and derivative crops; record each crop's source ID. List missing or rejected IDs and a rescan owner. Open samples on a second device and test recovery from a second copy.

### How to use it

1. Use separate originals, derivatives, share and metadata folders. Give each file a stable photo ID and relative path; link crops and restored versions to their source using a parent ID. Label AI edits and retain untouched scans.
2. In the manifest, record role, caption, caption source, uncertainty, date range and sharing scope. Leave unsupported facts unknown. Keep private contacts and permission notes out of public copies.
3. Complete the README with the folder map, keeper, recipient, collection scope, file counts, exclusions, unresolved issues and backup location. Store completed worksheets securely.
4. Compute SHA-256 checksums from the actual files before transfer and compare the received copies afterwards. The downloads do not generate hashes. Matching hashes show byte equality, not authenticity, correct captions or future readability.
5. Have the recipient open sample files and a caption file, locate an original from its derivative, and recover one file from the backup. Record the tester, date, errors, responsible keeper and next review date.

Calculate the file budget, review cropping and borders, then record your findings from one physical proof before ordering a full run.

### How to use it

1. Record the source ID, pixel dimensions, paper size, target PPI and required output pixels. Output pixels = inches × target PPI. A 6 × 4 inch file at 300 PPI is 1800 × 1200 pixels.
2. Subtract borders from the image area. A 0.25 inch border on every side of a 6 × 4 inch print leaves 5.5 × 3.5 inches, or 1650 × 1050 image pixels at 300 PPI. Review effective source PPI after cropping; a DPI tag does not add detail.
3. Check faces, writing, edges, crop and border placement. Verify saved dimensions and intentional transparency flattening. Confirm the provider's format, colour space, paper, scaling and auto-correction requirements.
4. Order one physical proof using the intended provider and paper. Record receipt date, measured paper size, border widths, crop, skin tones, neutral areas, shadows, sharpness and the lighting used for review.
5. Save the exact accepted file and provider settings. If the file, crop or provider changes, review another proof. This worksheet contains blank review fields and worked geometry; it is not a printer profile or a tested physical proof.
